Job Description:
We are seeking a highly organized and detail-oriented individual to join our team as an Office Manager. As an integral member of our organization, you will be responsible for ensuring the smooth operation of our office and providing exceptional customer service. The ideal candidate will possess excellent communication skills, thrive in a fast-paced environment, and have a strong ability to multitask and prioritize.
Responsibilities:
- Promptly answer incoming phone calls and emails, direct/transfer correspondence to correct individual/department
- Route customer to freely available information on our website to free up Project Manager’s time from simple questions
- Greet Walk-ins
- Mail pick-up/drop off
- Receive and processes payment, make deposit at bank
- Accurately track payment schedule of projects and accounts receivable
- Purchase office supplies and parts/materials from vendors
- Generally maintain the facilities. Coordinate maintenance/cleaning of facilities
- Point of contact with vendors, maintain vendor relationships
- Coordinate and schedule meetings/appointments
- Filing, Organizing, and Documentation of new RFQs and supporting information
- Maintain confidential information
- Gather necessary project-related information to pass along to Project Manager
- Gather freight quotes
- Answer customers general questions about our products
- Manage quotes/estimates in QuickBooks
- Process new orders in Shopify, facilitate refunds, provide new orders to Operations Manager
- Track and report general analytics as required to General Manager
Qualifications:
- Proven experience as an Office Manager or in a similar administrative role
- Strong written and verbal communication abilities
- Proficiency in using office software and equipment
- Detail-oriented with a focus on accuracy and quality
- Strong problem-solving and decision-making capabilities
- Ability to work both independently and collaboratively in a team environment
