The purpose of the Administrative Assistant position is to assist with the day‐to‐day functions of the front office, as well as various other tasks within the company related to leasing and assisting current tenants and prospective tenants. The focus of the job is to provide a welcoming atmosphere and customer service to current residents and prospective residents of Hunziker Property Management as well as to internal-customers and subcontractors. Other duties will revolve around helping with administrative work for the Property Managers and Owner of the company.
Job responsibilities include, but are not limited to:
- Answer and direct all calls that come through the mainline to correct person
- Manage team calendar via Google Calendar
- Schedule showings for prospective tenants and rental agents
- Collect rent and apply to tenant’s account in Appfolio
- Take maintenance requests from tenants via phone, email or Appfolio
- Send out roommate change and sublease forms
- Scan and send owner’s statements and payments at the end of each month
- Log any keys that are checked out by subcontractors (or current residents)
- Put away keys that are returned from rental agents, subcontractors, or tenants
- Order office supplies as needed
- Order HPM apparel in fall and spring (& as needed for new employees)
- Enter warranty information with manufacturer, update unit spreadsheet and unit information on Appfolio
- Schedule boiler backflow prevention and fire sprinkler inspections for all residential and commercial properties
- Scan all move-out files into appropriate folders on Google Team Drive
- Scan all cancelled/denied applications into appropriate folders on Google Team Drive
- Assist with assembling blue move-in folders for new residents
- Print forms and labels for blue folders
- Assist with filing any paperwork into correct tenant files/lease folders, letters of compliance, miscellaneous paperwork
- Order supplies for Turnover/Move-in bags
- Order key tags & assemble as necessary (takes a few weeks for delivery)
- Assist with scheduling move out inspections for tenants
- Notify past-due former tenants of balance due
- Send former tenants with balances due for non-payment to collections
Job Type: Full-time
Pay: $18.00 - $19.00 per hour
