We are looking to fill our Administrative Assistant position in our Des Moines Warehouse. This role works from 7:30 Am to 4:00 Pm Monday through Friday. This role is to help support warehouse operations.
Duties include:
- Tracking UPS deliveries as needed. Adding 365S for all UPS and other freight shipment, including walk-ins. Preparing bill of lading forms for outbound shipments.
- Logging incoming trucks, coordinating double counts with warehouse personnel, and entering all equipment returns. Responsible for downloading photos on shipments and returns.
- Providing administrative support functions including, but not limited to New Hire Kits, processing paperwork, weekly/monthly report preparation and providing support to all warehouse personnel and filing along with retention processes.
- Coordinating billing for equipment and ensuring appropriate signatures are acquired.
- Entering small equipment orders into 365E program. Coordinating lease extraction for warehouse returns into 365L program.
- Sorting, opening, identifying and distributing incoming and outgoing mail.
- Providing other job-related duties or support as required, including but not limited to back-up for District Sales Administrator, answering phones, providing support for Warehouse Manager and pulling up contact names for calls on damages beyond repair (DBR) and unreturned equipment (URE).
Qualifications:
- Candidates will have a high school diploma or equivalent.
- Must be proficient in Microsoft WORD, Excel and PowerPoint with the ability to type 50 words per minute. Experience in Outlook, a plus.
- Detail oriented, good numeric and alpha skills, as well as general filing and record-keeping abilities.
- Must be able to work independently and maintain confidentiality.
Limited travel required.
