Position Title: Administrative Assistant/Bookkeeping
Reports to: CEO
Location: Costa Mesa, CA
Status: Contract to Full time employee
Schedule: Full time, M-F (on-site). Contract basis first 90 days

The Administrative Assistant/Bookkeeping position will assist CEO and be responsible for supporting the bookkeeping and payables needs of the outside bookkeeping team, coordinating and facilitating product and packaging ordering and inventory levels, prepare purchase orders and inventory management orders and requests with warehouse, coordinating the supply of components/raw materials/finished goods to support the production plan.
Customer Service Administrative support: Process incoming customer returns/refunds within Shopify, Process shipping requests from the customer service team, including exchanges and product replacements.
General office administrative duties, such as telephone and mail duties, office supplies and general office duties. Assist and support team members in various projects as assigned for customer service, marketing and e-commerce operations.
Responsibilities:
- Handle all payables, prepare checks and data entry in Quickbooks online and support outside bookkeeping team to generate timely and accurate monthly financial reports is significant focus of the bookkeeping aspect of the position. In addition, bookkeeping duties preparing checks, and date entry using Quickbooks online for two entities owned by entrepreneur co-founder.
- Assist CEO with administrative, payroll, bookkeeping and management projects
· Process incoming customer returns/refunds within Shopify
· Process shipping requests from the customer service team, including exchanges and product replacements
- Assist in implementation and optimization of inventory management system. Use the inventory management system to manage inventory, ordering and forecasting, prepare and send Purchase Orders and Work Orders to Suppliers
- Use Amazon Seller Central and inventory management system to support Amazon shipments, inventory and returns
- Create, coordinate and manage project management, including project tasks and calendars for product development, marketing and other business needs
- Monitor and forecast changes in supply chain and ordering needs and communicate with contract manufacturers to support the business needs
- Work closely with management team to ensure orders are placed in time to maintain healthy inventory levels.
- Work closely with contract manufacturers on production timelines and capacity planning, anticipate and inform on any supply issues to minimize impact
- Develop and maintain strong relationships with suppliers
- Create, develop and formalize work processes and procedures for bookkeeping and operations. To include creating and implementing SOP’s and checklists and procedures to streamline payables, inventory, bookkeeping and operations.
- Assist in specialized projects as needed.
- Represents Runway Rogue Beauty professionally and in a manner that is consistent with core values
- Develop and implement standard procedures for bookkeeping and supply chain processes.
- General office administrative duties such as telephones, ordering supplies and managing vendors.
- Adhere to Runway Rogue policies, and procedures
- All other duties as assigned, which may change from time to time
Qualifications and Requirements:
- Bachelor’s degree in business, accounting or related field.
- Minimum 5 years Bookkeeping experience and in-depth knowledge of Quickbooks online.
- Minimum 5 years experience with Excel and Microsoft office, experience with Slack and Google docs
- experience with supply chain and inventory management systems.
- Experience with Dear Systems or similar inventory management software
- Experience with Shopify
- Production knowledge with understanding of manufacturing environment
- Strong problem solving, negotiation, and analytical skills
- Strong organizational and time management skills; able to handle multiple priorities
- Ability to work in fast-paced, often-changing environment
- Ability to work well with cross functional teams
- Good written and oral communication skills
- Excellent attention to detail and ability to organize and prioritize multiple tasks and projects to assist senior management in meeting deadlines and objectives
Job Type: Contract to Full-time
Schedule: Monday to Friday, on-site
Pay: $25.00 - $27.00 per hour
