Position Overview:
As an Administrative Assistant, you'll be at the heart of our operations, providing essential support to our team and clients alike. From intake inquiries to office maintenance, your responsibilities will be diverse and rewarding. Position is considered Part-Time, looking at 30 hours per week. The ideal candidate will meet the following minimum eligibility requirements:
Minimum Eligibility Requirements:
Pass Live Scan Fingerprint Clearance (LIC 9163)
Personnel Record (HCS 501)
Valid I 9 Employment Eligibility Verification documents
Experience working in an office and/or customer service environment.
Basic computer knowledge, data entry, and word processing
Ability and willingness to learn new computer programs and other tasks.
Must possess effective verbal/written communication skills, solid mathematical skills, and strong organizational skills, be detail oriented, and be able to prioritize multiple tasks.
Professional phone and office demeanor
Must be able to perform duties and responsibilities with or without reasonable accommodation
Key Responsibilities:
Handle intake inquiries, consultations, and assessments with professionalism and empathy.
Prepare office and conference rooms for meetings and welcome office visitors.
Manage mail distribution and process bulk mailings and correspondence.
Maintain office supplies and perform basic housekeeping duties.
Assist with client and employee record maintenance, ensuring compliance with regulations.
Handle client billing and payroll processing accurately and efficiently.
Run errands and assist with various administrative tasks as needed.
Qualifications:
Prior administrative experience is preferred.
Proficiency in computer software programs (Microsoft Office Suite, etc.).
Strong organizational and multitasking skills.
Excellent communication and customer service abilities.
Detail oriented with a proactive approach to problem solving.
Ability to work independently and as part of a team.
