Job Summary
This position will work collaboratively with the dean, faculty and the staff of the Workforce Development division to serve as the Administrative Assistant for the division and assigned building(s). The Administrative Assistant is responsible for providing administrative support for credit and non-credit programs, program faculty and professional staff in the division. Additionally, this position will work as a liaison between Rockingham Community College and area businesses and industry, Rockingham County Economic Development, Rockingham County Chambers of Commerce and third-party credentialing agencies.
Job Duties
General Support
  • Provide administrative support for the dean, faculty, and staff of the division, including but not limited to, the Center for Workforce Development, Industrial Technologies I and II and the Advanced Technologies Building
  • Serve as primary point of contact for assigned building(s)
  • Create and maintain filing systems, both electronic and physical
  • Assist with communication and coordination of students, faculty, staff and visitors for the assigned building(s)
  • Perform general office support to the division, including sorting and distributing mail; maintaining files-both hardcopy and e-copy; supervise the use and maintenance of office machines and supplies, maintain appropriate inventory records; process purchase requests and invoices; coordinate the copy requests of faculty with print services
  • Work to resolve in a positive way student issues in the absence of the dean, faculty and staff
  • Assist with design and maintenance of bulletin boards and other promotional material • Participate in College committees and initiatives as requested to support the College and Division's mission
  • Manage records and maintain the confidentiality of information and privacy of employees at all levels within the Division and College
  • Coordinate arrangements for travel by generating and routing paperwork in accordance with college processes
  • Coordinate meetings with internal and external stakeholders by preparing agendas and recording meeting minutes
  • Works collaboratively with part-time faculty and staff for seamless communication, assistance and learner support
  • Assist with the preparation of spreadsheets, presentations, and other support materials • Work with division personnel to input and maintain accurate course schedule information
  • Perform data entry and maintain/update information in campus systems
  • Assist with training, coordinating and scheduling of work-study student(s)

Faculty Support
Assist with advisement, registration, and new student orientation
• Collaborate with faculty and staff for the publication and posting of faculty work schedules
• Assist with duplication and dissemination of information for part-time faculty or part-time staff
• Prepare mailroom/workroom area for day, afternoon and evening instruction
• Assist with maintenance and review of program-specific requirements to internal and external stakeholders
• Assist with classroom assignments and coverage of classes for faculty
Data and Record Management
• Assist staff with the collection and documentation of part-time faculty employment information
• Maintain electronic records for courses, retention efforts, learning assistance tracking and other student success initiatives
• Assist with the collection and compilation of data related to courses and services
• Monitor paperwork completion, submission, and accuracy of faculty, including part-time faculty
• Assist with generating and distributing reports from a variety of electronic resources, including departmental budgets
• Process monthly division payroll for part-time faculty and part-time staff
• Work collaboratively with the Institutional Effectiveness department to develop data reports for the dean, professional staff, and faculty
• Assist the dean with tracking and documenting instructional flex leave or missed class time
• Assist dean with tracking and documenting instructional missed class forms, reconciling to college operational hours (example: inclement weather missed instructional times/days)
• Assist dean with assignment of office keys for faculty and staff within the division
Division Specific Duties
• Perform data entry using Ellucian/Colleague administrative information system for faculty, staff, dean, and other instructional and professional staff
• Support institutional accreditation efforts
• Assist with the submission of the Institution Class Report (ICR) by reviewing attendance rosters
• Assist with compliance review by reviewing learning management system statistics
Perform other duties as assigned.
Qualifications
REQUIRED:
Associate Degree from a nationally accredited institution
PREFERRED:
Associate's degree in Business, Information Technology, Office Systems or related field
North Carolina Community College System administrative work experience
Experience with Ellucian/Colleague administrative information system
Knowledge and Skills
  • Excellent written and oral communication skills
  • Excellent organizational skills
  • Proficient in technologies and programs commonly used in collegiate courses such as email, Adobe Reader, Microsoft Office products
  • Ability to work effectively and collegially with others
  • Ability to respond to change

North Carolina Retirement System - State Retirement Plan
Full-time employees participate in the North Carolina Teachers' and State Employees' Retirement System. State retirement is deducted at the rate of six percent; the state contribution varies dependent on market conditions. Contributions are tax sheltered for federal and state income tax purposes. Employees are vested after five years of creditable service.
NC Total Retirement Plans (Supplemental Retirement Plans)
The NC 401(k) Plan and the NC 457 Plan are defined contribution retirement plans offered as optional employment benefits to eligible employees.
