Administrative Assistant Job Duties
Perform administrative tasks and coordination for claims/lawsuits (other than related to workers comp, auto or non-litigated general liability), various legal department needs, contracts and/or real estate transactions. This person will also be responsible for handing bid coordination administrative tasks.
· Management of claim files
· General Liability, Construction Defect Cases, Any Other Open Legal Case files, Subpoenas, etc.
· Filing emails
· Organizing files
· Tracking expenses (invoices/payments as they come in)
· Scheduling important litigation dates
· Arranging any litigation attendances for site inspections, depositions, case management conferences, settlement conferences, etc.
· Preparing documents for document production
· Open mail and review letters. Highlight important dates and mark on the calendar
· Set up any new claim files
· Gathering and investigating information about claims (Who, What, When, Where, Why, Photos, Incident reports, job file, etc.)
· Scanning
· Keeping the TPA/travelers informed on outgoing expenses (checks and invoices)
· Tendering new claims to insurance (Conco program or OCIP/CCIP)
· Scanning
· Maintaining confidentiality regarding sensitive information
· Sending out Mail (Certified mail, overnight)
· Using the copy Machine
· Creating and organizing files
· Taking phone calls and messages
· Setting up meeting invites and conference calls
· Real Estate-related administrative duties include setting up new lease files, administering contracts related to leases and real estate transactions, communications with tenants regarding the receipt of lease deliverables, assisting with the tracking of real estate portfolio timelines, various RE overflow-tasks as needed. attending RE team meetings when needed.
· Logging bid invitations into our bid board.
· Downloading documents and uploading the same documents to Autodesk Build and Conco’s internal drive.
· Call customers to negotiate bid extension or communicate progress.
· Draft Request for Quotes, and follow-up on late quotes.
· Computer skills and experience using functions of Microsoft Office (Word/Excel/Outlook)
· Time management and organizational skills
