Summary: The Administrative Assistant interacts with the public in a courteous and professional manner both in person and via telephone. You utilize basic computer skills to perform various office functions including data entry, customer service, scanning, imaging, filing, answering phones, and processing mail and voice mail. This position requires someone who is comfortable with technology, adept at multitasking, and can thrive in a small team environment. You will maintain exceptional customer service while answering inquiries.
Objective & Responsibilities:
· Greet and welcome guests in a friendly and professional manner
· Manages a multi-line phone in a fast-paced environment.
· Identifies and assesses caller needs to find appropriate personnel and/or solution.
· Assist with administrative tasks such as filing, data entry, and scanning, emailing and photocopying
· Maintain a clean and organized front desk, lobby and full center office area
· Coordinates incoming and outgoing mail to assure it’s handled in a timely manner.
· Orders supplies, forms, equipment literature and other needed materials as requested.
· Orders food and supplies for promotional events and other meetings.
· Assists with set-up, clean-up of staff events
· Answering and directing phone calls in a professional manner.
· Welcoming and assisting visitors, clients, and employees.
· Assisting with scheduling and calendar management.
· Filing and organizing both physical and digital documentation.
Desired Experience and Education:
· Minimum of a high school diploma
· A minimum of two years’ experience in clerical and business office operations
· Customer service experience (preferred)Bilingual in English and Spanish strongly preferred.
· Proficient in MS Outlook, Excel, and Word.
· Excellent written and verbal communication skills.
· Ability to maintain a professional, positive, and charismatic demeanor always.
· Knowledge of landscape industry is a plus.
Compensation & Benefits:
· $20-25 per hour, depending on experience
