Organization/Business Overview:
This person will be the Front Desk Receptionist. An established financial services practice for Thrivent in Troy, MI is seeking a Phone Caller and Appointment-Scheduler to help with calling clients and appointment scheduling along with other administrative tasks inside an established Financial Professional's office. Position summary:
This role is critical to our client experience and requires a friendly, upbeat demeanor. The Administrative Assistant supports the daily operations of the practice, including, but not limited to: making outbound calls daily to schedule appointments, answering the phones, meeting/greeting clients when they come in to the office, handling/distributing postal mail and business email, ordering supplies, utilizing Thrivent computer systems and programs in support of client relations, and other administrative tasks as assigned. The Administrative Assistant reports to and is employed by the Financial Advisor.

The ideal candidate must be open to coaching and direction and can demonstrate effectiveness, with high energy and an upbeat work attitude. Must be reliable and able to successfully complete tasks within certain timelines. Must be able to anticipate top priorities that need to get done for the business and demonstrate initiative to get things done.

*This position is part-time (about 34 hours/week) with the potential to increase hours depending on business needs. On the job training will be provided. Primary hours needed may vary anywhere between 10:00am - 6pm M- F, possibly with very occasional hours at special evening or weekend events only a few times per year.

*Must be available between 10am and 6pm Monday-Friday. This position does NOT provide medical benefits.

Position Responsibilities
· Supports client facing activity in the practice by scheduling meetings with clients on behalf of the practice’s Financial Professional.
· Makes outgoing phone calls daily to both clients and prospects and also handles incoming telephone calls; consistently keeping the weekly calendar of the Financial Professional full with client appointments as requested.

· Greeting clients as they come in to the office; providing exceptional customer service.
· Prepares and coordinates correspondence of special projects and reports typically of a routine nature.
· Supports projects, administration of various programs, and processing functions as needed.
· Assists Financial Professional in the preparation and follow up for the client meetings.
· Coordination of the client service model ensuring all clients are receiving their appropriate level of service.
· Follow up with clients on underwriting requirements.
· Organizes mailing lists based on prospects, churches, communities for regular marketing activity.
· Coordinates member invites to workshops, webinars and events based on the client service model.
· Provides back-up support on tasks that do not require any type of licensing or registration as needed.
· Participates in the business planning process.
· Assist with client workshops (only a few times per year).
· Completes other miscellaneous tasks as assigned.

Position Qualifications
· Previous administrative/secretarial experience preferred.
· Excellent phone skills required; comfortable making daily calls to clients to schedule meetings.
· Strong technical computer aptitude and knowledge of business tools (e.g., Salesforce, Microsoft Outlook, Word, Excel, PowerPoint) or ability to learn quickly.
· Ability to handle multiple tasks and maintain a high quality / accuracy of work while experiencing frequent interruptions.
· Ability to demonstrate solid organizational skills to maintain a clear, concise record of ongoing projects, daily tasks and future activities in weekly debrief meetings with the Financial Professional.
· Ability to maintain integrity of sensitive/confidential information.
