This role is in office Monday through Thursday in Chicago, IL.
Primary Responsibilities
Administrative assistant to executives on the Real Estate Team. Ability to join a dynamic, fast-paced, and collaborative business development team. Primary responsibilities of the role include:
- Scheduling tenant meetings with the team. Working with tenants to schedule and organize meetings as well as sending all calendar invites and booking conference rooms
- Preparation of materials for external tenant meetings
- Book Travel (both domestic and international) and assist with filing a related expense report
- Conference Management: registering, paying, organizing + tracking attendees and speaking with reps when applicable
- CRM/Contact Management - inputting all contact details into CRM, pulling reports as needed
- Assist Admin team as needed with various team projects and needs
- Ad hoc team projects as needed
- Intake and organization of mail, tenant communications, legal documents
Qualifications
- Prior relevant experience at an commercial Real Estate firm preferred
- Must be experienced in Outlook and Microsoft Office
- Event management software experience a plus
- CRM database experience helpful
- Heavy International Travel Booking experience
- Must be detail-oriented and have the ability to balance competing priorities
- Strong problem-solving skills and organizational skills
- Must be proactive and have the ability to work independently
- Must have an attitude of "no task is too big or too small" and be willing to wear many hats
