Summary
Provides high level of administrative support to the department chair by coordinating daily operations of the department, both routine and non-routine. Serves as department liaison to university academic administrative and operational areas and faculty and departmental staff. Prepares and responds to correspondence from on and off campus inquiries. Assists with personnel searches and coordination of department operations, directly supervises student employees. Coordinates schedule development.
Essential Functions
- Assistant to the Chair, includes the following: assumes responsibility for day-to-day administrative operations; serves as liaison between Chair and University administrators, faculty, staff, students, and the community; implements policies, decisions and directives; maintains personnel records/files for all department employees; prepares agendas, records, minutes and calls meetings for various departmental committees; maintains Chair's calendar; prepares correspondence, confidential documents and directives for the Chair; requests repairs and services as necessary for building and equipment;.
- Monitors Foundation budget expenditures, reviews operating budget expenditures with budget coordinator. Supervises and coordinates all department scholarships and awards, from application to award. Adheres to strict timelines and allotted budgets.
- Manages course scheduling, which involves coordinating teaching schedules, department classroom schedules, course enrollment history, and needs of other departments.
- Supervises department student employees. Maintains office calendar showing availability of full- and part-time staff.
- Coordinates applications for graduate faculty status. Oversees and coordinates the collection and processing of teaching evaluation data.
- Oversees and coordinates faculty and staff searches.
- Prepares reports as requested.
- Participates in the development of department newsletters, public relations/news releases and correspondence. Implements minor updates to the Department website. Maintains database of alumni, former faculty and staff.
Minimum Qualifications
Experience
- One-year related experience required
Education
- High school diploma or GED required
