About the Position
This role will support the VP of Product and the VP of Planning for Venus Fashion, Inc. The position requires an individual who has excellent communication, organizational and interpersonal skills and detail oriented. The ability to work successfully under pressure in a fast-paced team environment, build and maintain effective working relationships, accommodate diverse working styles, and be fair and unbiased are essential to success in this role, along with attention to detail and the ability to maintain strict confidentiality.
Job Duties
- Coordinates complex scheduling and extensive calendar management for VP's; including multiple time zones, global meetings and day to day requests.
- Creates, maintains, and updates reports to support the decision-making process.
- Consistently prepares each day with needed documents, scheduling information, or other requests in support of the VP's.
- Makes sure meeting rooms and meetings are set up on time and in advance with all necessary information.
- Anticipates, prepares, revises, and sends correspondence on behalf of the VP's.
- Plans and schedules meetings, conferences, events, and teleconferences - oversee logistics to ensure smooth running.
- Prepares and plans ahead for meetings, decks, presentations, and does their best to anticipate needs.
- Provides support for visiting functional team members and visitors as needed.
- Manages the inventory of office supplies and ordering additional supplies as needed.
- Must handle sensitive information with the highest degree of integrity and confidentiality.
- Understands at all times where, what, and how the VPs schedule and agenda is.
- Domestic and international travel logistics, trip preparation, specific and all itinerary information and planning, and expense reporting
- Performs general clerical duties including but not limited to filing, photocopying, faxing, and mailing.
- Performs other tasks as assigned.
Qualifications
- Excellent organizational, analytical, anticipatory, as well as verbal and written communication skills.
- Ability to consistently and reliably be in the office during core business hours.
- Strong computer skills (Excel, Outlook, PowerPoint and Word).
- Knowledge of corporate organization and ability to navigate it; knowledge of departmental business practices and tools is required
- Ability to make decisions, perform analytical tasks, report writing and problem-solving skills.
- Critical thinking, attention to detail and the flexibility to adapt to change.
- Able to work independently and multi-task, seek answers when help is needed and motivated to seek. out additional tasks for completion.
- Detail oriented, sound judgment and strong interpersonal skills.
Education & Experience
- Bachelor's Degree preferred.
- 1-2+ years' experience supporting a department, office, or executive.
