Job description

The Ligonier Valley Police Department (LVPD) is currently accepting applications to fill a part-time Administrative Assistant position. LVPD is a regional department serving approximately 8,000 residents in both the Ligonier Borough and Ligonier Township.

Purpose:

To serve the community by providing administrative support to the Ligonier Valley Police Department. This position works with confidential and time sensitive material in an everchanging environment, requiring strong verbal and written communication skills.

Major Duties & Responsibilities:

Work includes but is not limited to the following:

  • Serve as the department receptionist: greet visitors, answer phone and process mail.
  • Maintain the department’s website, records, and files.
  • Schedule trainings, court hearings, and various meetings.
  • Post agendas and create packets for commission meetings.
  • Prepare correspondence, memorandums, and reports.
  • Perform data entry and record management related to citations and arrests.
  • Issue copies of accident and case reports as requested.
  • Assist with the employment process, HR related tasks and maintain personnel files.
  • Track supply inventory and place orders.
  • Review invoices for accuracy, contact vendors when necessary and forward information to accounts payable.
  • Assist with budget planning, grant management, annual audit and other special projects.

Minimum Qualifications

Knowledge Of:

General office procedures, account payable functions, project management, court procedures, and the criminal justice system. Strong understanding of the Microsoft Office suite.

Skill To:

Communicate clearly and effectively. Keep confidentiality. Establish and maintain effective and positive working relationships with officers, management, other agencies, and the general public. Willingness to collaborate and work in a team environment.

Education & Experience:

Graduation from high school or equivalent supplemented by five years related work experience. Former municipal, court, and/or law enforcement administrative experience strongly desired. QuickBooks (Online) experience a plus.

License / Certificates:

Must possess a current Pennsylvania driver’s license.

Physical Requirements:

Working conditions are primarily inside an office. Subject to walking, standing, sitting, reaching to perform essential functions. Occasionally required to bend, lift, and carry up to 25 pounds. Special Requirements Must pass a criminal background check and attend monthly commission meetings.
