The Orlando Sanford International Airport, operated by the Sanford Airport Authority, is seeking a highly organized and detail-oriented individual to join our team as the Administrative Assistant for Operations. SCOPE:
Perform duties to provide administrative and clerical support to the Vice President of Operations And Public Safety and other Operations Departmental managers, working within the limits of standard or accepted practice.
ESSENTIAL DUTIES:
- Answer incoming telephone calls to the office of the Vice President of Operations. Take messages, respond to routine matters, or transfer calls as appropriate. Cover telephones for others in the Executive Suite and Receptionist as needed.
- Maintain the Vice President of Operations & Public Safety calendar. Schedule meetings and prepare agendas as required. Schedule conferences as directed. Calendar and assist with the development and implementation of special events. Support Executives with travel and lodging arrangements for attendance at SAA business-related events as required.
- Develop correspondence and documents as directed by management, based on knowledge of circumstances, and pending matters. Format and finalize for signature.
- Help plan and prepare for special events as directed. Order food, shop for, and, pick up required items.
- Back up the other Executive Assistants when they are out of the office.
OTHER DUTIES:
- Perform or assist with any operations, as required to maintain workflow and to meet schedules and quality requirements. Notify supervision of unusual equipment or operating problems and the need for additional materials and supplies.
- Maintain a safe work area and comply with safety procedures and equipment operating rules keeping the work area in a clean and orderly condition.
- Participate in any variety of meetings and work groups to integrate activities, communicate issues, obtain approvals, resolve problems, and maintain specified levels of knowledge pertaining to new developments, requirements, and policies.
- Perform other related duties as assigned.
EDUCATION:
- High school diploma or equivalent (additional coursework or degree in business administration is advantageous).
Experience:
- Previous administrative experience, preferably in an airport or operations setting.
- Familiarity with airport operations, regulations, and security protocols is a plus.
SKILLS:
- Proficiency in Microsoft Office software applications.
- Strong organizational skills and attention to detail.
