Job Purpose:
This position is a dynamic role that involves administrative support and client service responsibilities. The incumbent will assist in running system reports, initiating correspondence, and performing various confidential administrative functions. Additionally, the role includes entry-level responsibilities on the Client Services team, focusing on the timely billing and collections of accounts receivable, with guidance from the Client Manager.
Duties and Responsibilities:
- Administrative Responsibilities:
- Provide support with administrative tasks.
- Engage in critical analysis of data with a proactive approach.
- Identify and respond to trends in data.
- Maintain monthly client reports and meet ad-hoc reporting needs.
- Prepare materials, agendas, and minutes for client meetings.
- Client Service Responsibilities:
- Perform payment reconciliation to bank/client deposits.
- Pull medical records/demographics/insurance from multiple hospital/facility systems as required.
- Perform charge reconciliation to daily schedules.
- Follow up with insurance companies on denied and rejected claims.
- Verify eligibility for insurance coverage.
- Investigate and follow up on unpaid, self-pay, and/or litigation accounts.
- Communicate with self-pay patients regarding outstanding balances.
- Establish and manage individual payment plans based on collection procedures.
- Process mail related to outstanding accounts and Credit Status Reports.
- Participate in team meetings and contribute to discussions on collections.
- Qualifications:
- 3+ years of Administrative Assistant experience.
- High school diploma or equivalent.
- 1-2 years of relevant work experience in physician or medical insurance/collections.
- Excellent communication skills, both verbal and written.
- Proficient in Microsoft Office (Word, Excel, Outlook).
- Detail-oriented, organized, and able to multitask.
- Knowledge of HIPAA laws and health insurance billing and collections.
Physical Requirements
Physical ability to sit, talk, hear for extended periods throughout the work day; stand, walk, push/pull, bend, stoop, kneel and reach on a regular to seldom basis. Repetitive hand motions on a frequent basis including fingering, grasping and handling. Ability to read handwritten and typed documents on paper and/or on computer screens.
