QUALIFICATIONS:
- High School diploma with courses in keyboarding, computer operations and business education. Associate degree level education is preferred.
- Working knowledge of complex office procedures and the operation of common office equipment including personal computers and related software including desktop publishing, data base, spread sheets and advanced word processing.
- Eight years of experience as a secretary or Administrative Assistant.
- Such alternatives to the above as the Board may find appropriate and acceptable.
REPORTS TO: Administrator(s) as assigned.
JOB GOAL: To assure the smooth and efficient operation of the assigned department's administrative office so that the office's maximum positive impact on the education of children can be realized. Independently scheduling all routine clerical work as well as special assignments and projects.
ESSENTIAL PERFORMANCE RESPONSIBILITIES:
- Performs often complex office routines, duties and special projects associated with a busy yet productive and smoothly-run office, working as part of a professional secretarial and administrative team.
- Schedules and coordinates the work of assigned clerical and/or operational staff, as well as assigned administrators.
- Assumes responsibility for the independent and effective completion and/or implementation of special projects of a sensitive nature such as the design and development of publications, community and media relations, event planning and management, special program planning and management, etc.
- Screens telephone calls, correspondence, staff and visitors; and, implements the policies, procedures and directives of assigned administrator(s) in a manner consistent with Board policy and regulatory requirements.
- Maintains such reports, data and office records as shall be required.
- Assures the maintenance of an attractive and comfortable work and reception area.
- Receives and routes all incoming calls. Greets all visitors courteously, determines their needs, checks appointments and directs or escorts them to the proper person.
- Types and produces documents, reports and correspondence using computer software for word processing, desk-top publishing and spreadsheets.
- Assists other members of the management and secretarial team in preparing administrative and/or instructional materials as requested.
- Consistently presents a positive image of the school district and maintains a high level of ethical behavior and confidentiality.
- Performs other duties as required including but not limited to typing, photocopying, filing, and such other tasks and responsibilities as assigned.
TERMS OF EMPLOYMENT:Non-exempt position. Twelve month work year. Salary to be established by the Board.
