Essential Duties and Responsibilities:
The Administrative Assistant is responsible for the provision of clerical services in support of the Director of Animal Control and the operations. The employee is required to perform all similar or related duties. Responsible for performing a wide range of administrative duties including but not limited to providing customer service to occasion walk-ins, answering the department's telephone, dispatching Animal Control Officers to calls, data entry, filing documents, sorting and distributing department mail, ordering supplies, researching and compiling records, assisting with public records requests, maintaining department records, processing the department's payroll, accounts payable, and responding to customer complaints. Performs similar or related work as required, as situation dictates or as assigned by the Director of Animal Control or his/her designee. SUPERVISION: Under the general supervision of the Director of Animal Control, the employee plans, prioritizes, and carries out the regular work in accordance with standard practices and previous training. The employee interprets instructions and/or adapts methods to resolve particular problems. Instructions for new assignments usually consist of statements of desired objectives, deadlines, and priorities. Technical and policy problems or changes in procedures are discussed with supervisor.
Requirements:
Preferred Education and Experience:
High School diploma or an equivalent apprentice level of trade knowledge; one to three (1-3) years of experience; or any equivalent combination of education, training and experience which provides the required knowledge, skills and abilities to perform the essential functions of the job.
KNOWLEDGE, SKILLS AND ABILITIES: Knowledge: Common policies, practices and procedures of the department and office operations; laws and regulations pertinent to position functions. Knowledge of office software (word processing and spread sheet applications) in support of department operations. Abilities: Ability to interact effectively and appropriately with the public and other personnel, perform multiple tasks and maintain confidential information. Ability to understand and follow oral and written instructions; Ability to make arithmetical computations rapidly and accurately; Ability to write legibly; Ability to perform keyboarding accurately at an acceptable rate of speed; Ability to get along well with others; Skills: Proficient skill in the operation of skill in the accurate operation of a personal computer terminal with alpha-numeric keyboard, office equipment, and the application of office software including word processing, spread sheet, and data base management applications; proficient business mathematical skills, recordkeeping, keyboarding and customer service skills; proficient written and oral communication skills.
Work Environment: The work environment involves everyday discomforts typical of a municipal office setting subject to frequent interruptions. Noise or physical surroundings may be distracting, but conditions are generally not unpleasant
