Service encompasses all aspects of the Pokagon Band of Potawatomi Indian’s governmental operations. Every employee shares the responsibility to provide exemplary service, dignity, and respect to all Tribal Citizens, the Tribal Council, and staff members. To this end, all employees have an obligation to identify and report any service problems, issues, or concerns and through designated channels, initiate, recommend, and actively participate in solutions.
Position Summary: Under the direction of the Executive Assistant, the Administrative Assistant enhances the Pokagon Band Gaming Commission’s effectiveness by providing information management and clerical support.
Essential Functions:- Assist office staff in scanning, copying, filing, binding and other administrative functions as directed.
- Assist the functional units of the Gaming Commission by reading, researching, and routing correspondence, drafting letters and documents, collecting, analyzing, and scanning information, preparing reports, initiating telecommunications, and keeping official meeting records as needed.
- Assist with the historical preservation of files and records.
- Maintain supply inventory, asset inventory, and office supplies.
- Contribute to team effort by accomplishing related results as needed.
- Maintain professional and technical knowledge by attending educational workshops, reviewing professional publications, establishing personal networks, and participating in professional societies.
- Assist with accounting and budgeting activities.
- Assist with team travel by booking flights, hotels, processing per diems, and the reconciliation of travel expenses and credit card receipts.
- Prepare interoffice envelopes and follow the carrier bag schedule to assure they are delivered to all properties.
- Produce information by transcribing, formatting, inputting, editing, retrieving, copying, scanning, and transmitting text, data, and graphics.
- Sort and distribute in-coming mail and prepare outgoing mail.
- Welcome guests by greeting them, in person or on the telephone, and answering or directing inquiries.
- Provide backup for Licensing Specialist on an as needed basis.
- Provide backup for the Executive Assistant on an as needed basis.
- Perform other duties as assigned.

- Systems used: Microsoft Office applications, other software.
- Ability to maintain strict confidentiality.
- A high school diploma or equivalent and three (3) years of related experience, or an Associate’s Degree and one (1) year of related experience is required.
- Knowledge, intellect, temperament, and flexibility to work effectively in a fast-paced environment.
- Must adhere to the Commission policy prohibiting Commission employees from gambling or playing at Four Winds Casino or any licensed game or gaming device under the jurisdiction of the Pokagon Band Gaming Commission.
- Must be able to handle requests in an empathetic and professional manner.
- Must be at least 21 years of age.
- Must be willing to promote goals and philosophies of the Pokagon Band of Potawatomi Indians.
- Must be willing to work flexible hours and weekends.
- Must be willing to work in any of the Four Winds Casino properties.
- Must have a valid driver’s license and be able to meet the minimum requirements regarding driving record to utilize Commission vehicles.
- Submit to and successfully pass a background investigation.
- Submit to and successfully pass drug testing as required by the Commission.
- Writing skills, reporting skills, scheduling, organization, time management, and verbal communications.
- Pokagon Band Preference Code applies.
- Frequently required to talk and hear.
- Frequently required to use hands and fingers to operate equipment.
- Working is generally sedentary in nature and will frequently require sitting. However, standing and walking will occasionally be necessary.
- General office environment. Lighting and temperature are adequate, and there are no hazardous or unpleasant conditions caused by noise, dust, etc. Work is generally performed within an office environment, with standard office equipment available. However, duties will require occasional work in a casino environment, which is typically smoky with noise levels above a general office environment.
