The Administrative AssistantForeign National (FN) Host Lead is responsible for providing administrative support/supervision to wide range of tasks within the RSS contract work. This position will be performed in the Pittsburgh location and oversee the FN Hosts in Albany and Morgantown along with the FN Coordinators to ensure proper site access and work flows. The FN Host Lead will be responsible for completing the necessary discovery, due diligence, and documentation related to request FN access to the NETL labs and locations. The FN Host Lead is responsible for the FNs activities while on site.
Location: This role will be 100% onsite at our Pittsburgh, PA site.

Primary Responsibilities, duties include but not limited to:
- Provide broad-based Administrative Support for processing paperwork related to the on-boarding of Foreign National employees and subcontractors for the RSS Contract under the U.S. Department of Energy/National Energy Technology Laboratory (DOE/NETL). This will encompass the Albany, Oregon, Morgantown, West Virginia and the Pittsburgh, Pennsylvania NETL sites. The Foreign National on-boarding process is highly detailed and requires good communication skills and close collaboration with Research Project Managers and their Assistants, as well as with the Federal client. This process will require protection of personal identifiable information (PII) that is provided by the Foreign National for use during the process.
- Perform as FN Host lead, managing the day-to day activities of the FN hosts and support team. (~ 5 personnel). This includes, scheduling with resident Hosts, RH Backups, technical hosts and FN's at each site and being the main contact for all FN communications from RSS management team
- Be aware of FN on-site presence/absence
- Make contact with hosted FN personnel on a regular basis
- Regularly monitor FN for performance aligning with the FN access package
- Maintain documentation of daily activities, including interactions with FNs each day
- Maintain documentation of approved work packages for each FN
- Maintain knowledge of any restricted areas on the site where FN personnel are not permitted
- Coordinate updates of FN packages with technical staff and Foreign National Program assistants
- Maintain positive rapport with NETL security team and Foreign National Program staff
- Maintain contact with FN supervisor and technical colleagues
- Renewals of FN access packages
- Coordination of FN's and Resident Hosts
- Overseeing the scheduling of FN's time on site
Required Education, Experience & Other:
- High school diploma with 4+ years of applicable experience
- Experience leading, managing or mentoring a team
- Strong organization and coordination skills
- Proficient in Microsoft applications such as Word, Excel, Outlook, Power Point (create and edit), Adobe, Internet Explorer, and Sharepoint.
- Ability to learn and work with many different programs and databases
- Ability to work independently and as part of a team
- Ability to effectively communicate via phone and email ensuring that all duties are completed accurately and delivered with high quality and in a timely manner
- Effective verbal and written communication skills
- Exceptional time management and problem-solving skills
- Must be able to meet the requirements for gaining access to work on the NETL campus
- U.S. Citizen
Preferred Qualifications:
- Associates degree or higher
- Experience with programs such as Cognos Analytics, Costpoint, Services Purchase Orders (SPO), and Non-Purchase Order (NPO)
- Prior experience with purchasing and/or excel
Salary Range for this position: $70K to $75K
