Provides key administrative support and oversees all internal business operations to ensure smooth workflow
Financial Investment office - Experience in Commercial Real Estate and Legal procedures is required.
Responsibilities:
- Manage and maintain files, both physical and electronic, ensuring organization and accessibility
- Assist in the development of training materials and programs for staff members
- Coordinate and manage calendars, scheduling appointments, travel bookings, and meetings as needed for our CEO, COO/CFO
- Operate phone systems, answering calls, taking messages, and directing inquiries to the appropriate individuals
- Provide front desk office support (i.e. daily operations, Commercial Real Estate, legal procedures, etc.), greeting visitors, and ensuring a positive experience
- Assist in team management by coordinating projects, tracking progress, and facilitating communication
- Demonstrate proper phone etiquette when interacting with clients, customers, or colleagues
- Utilize knowledge of business office management to support administrative tasks in a corporate office setting
Skills and Qualifications:
- Minimum of 3 to 5 years administrative experience providing support in a similar position
- Proficiency in file management systems and software applications
- Strong organizational skills with the ability to prioritize tasks and meet deadlines
- Excellent communication skills, both written and verbal
- Familiarity with phone systems and customer service principles
Requirements:
- Proven experience in administrative roles, preferably as an Administrative Assistant or similar position
- BS/BA in Business Administration, or relevant field from an accredited four year college or university
- Prior experience working in a Commercial Real Estate environment and legal procedures
- Must be a notary or willing to obtain notary, at company expense
- Proficient in Microsoft Excel, Word and PowerPoint
