Summary Description
This position provides administrative support for the Board of Supervisors Office and performs related administrative, secretarial, and customer service duties, including providing support for the Analysis of Social Services Evaluation Team (ASSET), boards, commissions, and similar processes.
Story County will be accepting applications for the Administrative Assistant until the position is filled. Applications are currently being reviewed to move forward in the interview process.
Job Duties/Responsibilities
- Provides administrative support for ASSET; enters claims into database, makes copies, and distributes and files related documents; adds new services and related budget amounts; updates and mails contracts; adds signed contracts to Board of Supervisors agenda; reconciles monthly; maintains ASSET database.
- Processes a variety of claims for payment.
- Sorts and distributes incoming mail.
- Answers telephone and greets visitors; provides information and assistance; refers to appropriate personnel.
- Maintains inventory of office supplies; makes purchases as needed.
- Maintains office equipment; manages office maintenance related requests.
- Coordinates reservations for conference rooms.
- Posts items for Board of Supervisors agenda as directed.
- Creates and updates spreadsheets as directed.
- Posts weekly calendar for Board of Supervisors; posts monthly calendar for public meeting room.
- Assists in managing membership of county boards and commissions; maintains members terms of services; contacts potential members for interviews, etc.
- Maintains and files certificates of insurance.
- Creates labels for employee files.
- Collaborates with other office staff as appropriate to ensure the accuracy of completed work.
- Performs various clerical duties for Board of Supervisor's office including but not limited to data entry, preparing written correspondence, letters and mailings, and proofreading various written materials.
- Attends meetings to monitor zoom and/or take minutes as assigned.
- Performs related duties as assigned.

Qualifications
- Knowledge and level of competency commonly associated with completion of specialized training in the field of work, in addition to basic skills typically associated with a high school education.
- Sufficient experience to understand the basic principles relevant to the major duties of the position, usually associated with the completion of an apprenticeship/internship or having had a similar position for one to two years.
