Administrative Assistant and Office Manager
Overview:
The primary purpose of the Administrative Assistantand Office Manager is to provide essential administrative support to the Senior Leadership Team at Proconex, an Emerson Impact Partner. This dynamic and fast-paced position demands multitasking proficiency and a high level of proficiency in Office 365 tools, including PowerPoint, Word, and Excel. The successful candidate will play a pivotal role in overseeing and coordinating the functions of the Proconex Headquarters office, managing a variety of activities, events, and essential office supplies and vendors (e.g., vending, plants, caterers). An integral aspect of this role is the responsible handling of confidential information.
Key Responsibilities:
Executive Administration:
- Provide comprehensive administrative support to the Senior Leadership Team.
- Provide direct and administrative support as needed for the Senior Leadership Team, including travel arrangements, expense reports, meetings, calendars, and other needs as they arise.
- Schedule and coordinate all recurring Senior Leadership Team (SLT) meetings, including All-Employee Communication, 1:1's, Business Unit Meetings, etc.
- Purchase and facilitation of gifts, flowers, donations, as needed to support vendor, customer, and employee relations activities.
- Support all coordination needed for offsite meetings, including working with the meeting sponsor on location, budget, and coordination.
Office Management:
- Oversee and coordinate Proconex Headquarters office functions.
- Efficiently organize and maintain all common areas, ensuring the cleanliness and organization of conference rooms, café, and kitchenettes.
- Maintain meeting schedules, reserve meeting spaces, and coordinate catering, as needed.
- Manage office supplies, ensuring they are organized and maintained at appropriate levels.
- Manage relationships with key vendors to support office maintenance including plants, vending, coffee, and supplies needed for customer and internal meetings.
- Assist with the coordination of cubicle and Office assignments, working collaboratively with hiring managers, IT, and HR.
- Manage employee desk setups and coordinate office clean-up for new hires.
- Maintain and publish regular PowerPoint and Presentation requirements, utilizing the company marketing template format. This includes coordinating the All-Employee Communication presentation, Monthly SLT reports, Board Meetings, etc.
Qualifications:
- Proven experience in executive-level administrative support.
- 5+ Years Executive Administrative, Project Coordination or other relevant experience
- Advanced knowledge of Microsoft Word, Excel, Outlook, and PowerPoint.
- Strong organizational and multitasking abilities.
- Excellent communication and interpersonal skills.
- Ability to handle confidential information with professionalism.
- Reliable, trustworthy, dependable and flexible attitude and demeanor.
- College degree preferred.
Physical Demands:
Ability to lift 5-10 pound boxes, perform filing, and engage in bending/lifting as needed.
