The main objective is to support the assigned departments in the office in all-administrative tasks described within this job description. This in turn will serve the purpose of freeing up managers from administrative and some non-administrative tasks.
Business Acumen
- Links CHUBB and department strategies and goals.
- Manage and Coordinates the agenda for the assigned groups: Business Trips, meetings, events etc.
- Understands Chubb's and department's organizational structures.
- Demonstrates knowledge of Chubb's business objectives and measurements.
- Uses judgment and discretion in all business situations.
- Effectively utilizes resources to problem solve and answer questions.
- Provides pro-active service that exceeds expectations.
- Serves as the first point of contact and answers questions in a clear and complete manner.

- Support team in administrative duties or record keeping, scheduling periodic conference calls, organization and coordination of meetings, conference, etc.
- Create documentation in MS Word in English and Spanish for guidelines, processes, meeting minutes and any needed documentation for the support of.
- Process and follow up to completion of all expense reports for the department.
- General Administrative duties such as, distribution of mail, office paperwork or interoffice documentation, orders and maintains supplies, arranges for equipment maintenance, screens manager's telephone calls, greeting of internal and external visitors and arranges conference calls for the Department.
- Creates and review presentations in Power Point. And advanced used of PC, Word, Excel Spreadsheet in special projects.
- Makes and coordinates travel arrangements including agendas, meeting set-ups, Hotel Reservations and Car Rentals as necessary.
- Makes Travel Expenses for the Group and check on its content to assure that Chubb policies are being followed.
- Maintain regional logs, reports, intranet, share drive library of growing volume of documents.
- Fast learner with ability to quickly learn CHUBB internal systems and software's.
- Ability to work in a fast-paced environment and multi task handling a high volume.
- Assume back-up administrative functions of mail, reception, etc
