· Answer and direct incoming calls and take messages as necessary.
· Greet, direct, and take care of needs of office visitors.
· Arrange and coordinate meetings and calls via phone, email, and Zoom with internal and external parties utilizing multiple calendars.
· Follow up with clients re A/R
· Keep office stocked with office supplies, including kitchen supplies.
· Process and direct mail, packages, and deliveries.
· Maintain hardcopy and electronic filing systems.
· Maintain contact lists.
· Order and set up food service for meetings.
· Create and send grammatically/punctually correct internal/external company communication.
· Liaise with Operations Manager and senior Administrative Assistant to handle requests and queries from attorneys.
· All other projects as assigned.
Skills
· Proven experience as an Administrative Assistant or office admin assistant.
· Knowledge of office management systems and procedures.
· Working knowledge of office equipment, like printers.
· Proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint).
· Excellent time management skills with the ability to multi-task and adjust changing priorities.
· Attention to detail and problem-solving skills.
· Excellent written and verbal communication skills.
· Self-motivated, proactive, and resourceful.
· Friendly.
