About Us: At BACA, we are committed to delivering ambulatory mental health services to youth and young adults at a higher level of acuity than can be optimally managed in a standard outpatient setting. Therefore we offer Partial Hospitalization (PHP) and Intensive Outpatient (IOP) Programs, including Dual Diagnosis, and a Transitional Outpatient Clinic, with return to primary care when feasible. Our vision, mission, and values drive every aspect of our organization, and we are seeking a dedicated Medical Director to lead and inspire our team of psychiatrists and licensed therapists in Berkeley across these levels of care.

- Validate and update patients' current addresses and insurance information, ensuring accuracy and completeness.
- Collect co-pays from patients and provide assistance with related paperwork.
- Maintain a clean and organized office environment, promoting a professional and welcoming atmosphere.
- Monitor and manage inventory needs, ensuring adequate supplies are available.
- Assist the administrative team with various tasks such as monitoring ARFs, scheduling appointments, checking in patients, providing financial counseling, and addressing patient and clinician needs.
- Perform clerical duties including copying, mailing, faxing, scanning, and sorting documentation.
- Utilize electronic systems such as Bay Area Clinical Associate's electronic health records (EMR/EHR) system, Office Ally, SecureBill Pay, and Google Suite (Gmail, Gcal, Google Drive).
- Embody and uphold BACA's vision, mission, and values on a daily basis, integrating them into decision-making processes.
Undertake additional tasks as assigned by BACA leadership.

- Strong organizational and time-management abilities. Ability to prioritize tasks, handle multiple assignments simultaneously, and meet deadlines.
- Meticulous attention to detail to ensure accuracy in document preparation, data entry, and other administrative tasks.
- Proficient in using Google Suite and other relevant software applications. Experience with Electronic Health Record (EHR) systems is a plus.
- Ability to identify issues and proactively address them. Resourcefulness in finding solutions and resolving day-to-day operational challenges.
- Demonstrated professional demeanor, maintaining a positive attitude and composure under pressure. Ability to handle confidential information with discretion and integrity.
- Flexibility to adapt to changing priorities and work effectively in a fast-paced environment.
Strong collaborative skills and the ability to work well both independently and as part of a team.
Travel Requirements: None. Availability to work onsite Monday through Friday from 9:00 am to 6:00 pm.
High school diploma or equivalent. Additional education or certification in office administration is a plus.
Proven experience as an Administrative Assistant or in a similar role. Familiarity with office management systems and procedures is highly desirable.
