Key Responsibilities
Administrative Support:
- Provide support to the team, including answering phone calls, responding to emails, scheduling meetings, making travel arrangements, managing calendars, and event coordination.
- Draft requests for approval of administrative, operational, and office expenses, ensuring accuracy and adherence to budgetary guidelines.
- Prepare disbursement vouchers for approved expenses or set up autopay systems, ensuring timely payment and accurate record-keeping.
- General administrative duties including communications, managing mailings, preparing reports, and maintaining appropriate filing systems.
- Manage office operations duties including ordering supplies, troubleshooting technology problems, and coordinating with outside vendors for service/repairs.
- Provide support to the Board of Directors, including meeting scheduling and distributing board materials.
- Handle registration and required filings with federal, state, county, and city authorities, ensuring compliance with relevant regulations and deadlines.
- Special projects and other tasks as assigned.
Property Management:
- Assist in maintaining accurate records of property-related documents, including leases, contracts, and maintenance reports.
- Monitor lease agreements and ensure contract compliance, facilitating renewals or modifications as necessary.
- Monitor and track tenant payments, ensuring timely receipt and accurate recording of rent and other fees
- Follow up on outstanding payments or delinquencies, communicating with tenants to resolve any issues promptly and diplomatically.
- Coordinate with accounting departments to reconcile tenant accounts and address any discrepancies.
- Generate and distribute rent statements to tenants as required, maintaining transparency and accountability in financial transactions.
- Collaborate with vendors, contractors, and service providers to ensure efficient property operations.
- Handle tenant inquiries, requests, and concerns in a timely and professional manner.
- Coordinate and schedule property maintenance, repairs, and inspections regularly and as needed.
- Manage property tax filings, insurance documentation, and other regulatory requirements.
- Assist in financial analysis and budget planning for property-related expenses.
- Collaborate with legal counsel or other professionals for any issue related to property management.
- Special projects and other tasks as assigned.
Qualifications and Competencies
· Entry-level
· 1+ years of related experience is plus
· Proficiency in MS Office and related software
· Bachelor’s degree in related field preferred
· Proficiency in Korean and English preferred
· Strong organizational and time management skills
Benefits:
- Meal reimbursement: $15 per day for lunch (up to 2 times a week)
