Job Summary:
We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will have strong clerical skills, as well as the ability to handle multiple tasks and prioritize effectively.
The position is in the Tri-Cities office, however provides administrative support for The Andersen Firm’s offices located in South Florida, New York, and Tennessee. The Administrative Assistant will be responsible for preparing estate planning portfolios for all clients, shipping estate planning portfolios for signing, processing the estate planning portfolios upon return, preparing, and organizing files, facilitating immediate access of information by other offices through electronic imaging, answering incoming calls for the firm, serving as receptionist for the Tri-Cities office and other tasks as assigned.
ESSENTIAL FUNCTIONS:
- Review calendars daily and prepare for all upcoming delivery meetings in accordance with the firm’s appointment preparation procedure.
- Perform post-delivery processing and ensure all witnesses and notary signatures are captured and documents are fully executed.
- Answer and direct incoming calls.
- Perform additional work assignments based on the needs of the firm.
Qualifications and Skills:
- High school diploma or equivalent
- 3 years prior work experience in a full-time administrative position
- Strong clerical skills with attention to detail
- Excellent organizational skills
- Ability to prioritize tasks and meet deadlines
- Able and willing to work a flexible schedule (the position is Monday – Friday however you may be asked to work late or come in early on occasion)
- Polished professional appearance and demeanor.
- Able to clearly communicate in English both verbally and in writing.
- Must be able to pass a criminal and financial background check.
