Responsibilities
- Perform general administrative tasks such as answering phone calls, emails, inquiries, scheduling appointments, and managing calendars.
- Coordinate and organize meetings, conferences, and events, including making travel arrangements and preparing meeting materials.
- Assist with project coordination by tracking progress, updating project documentation, and communicating with team members.
- Maintain office supplies inventory and place orders when necessary.
- File and organize documents, both physical and electronic. - Provide administrative support to various departments as needed.
- Transcribe meeting minutes and other important documents accurately.
- Ensure efficient workflow within the office.
- Maintain filing systems and databases
Requirements:
- Fluent in Arabic (Spoken)
- Proven experience as an Administrative Assistant or in a similar role
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal abilities.
- Proficient in Microsoft Office Suite
Skills:
- Event planning: Experience in organizing and coordinating events, such as conferences or workshops.
- Phone systems: Proficient in operating multi-line phone systems and handling incoming calls professionally.
- Front desk: Ability to greet visitors, direct them to the appropriate person or department, and provide excellent customer service.
- Project coordination: Strong organizational skills to manage multiple projects simultaneously and ensure timely completion.
- File management: Knowledge of proper filing systems and ability to maintain organized physical and digital files.
- Administrative tasks: Proficiency in performing various administrative tasks, such as data entry, correspondence drafting, and email management.
- Personal assistant: Willingness to provide support to executives or managers by managing their schedules, arranging travel plans, and handling confidential information.
- Clerical skills: Ability to perform clerical duties such as photocopying, scanning documents, and sorting mail.
- Transcription: Accurate typing skills to transcribe audio recordings or handwritten notes into written documents.
