The University of Mount Olive Flight School has an immediate opening for an Administrative Assistant.
Responsibilities include:
Maintain all FAA 141 certification records
· Review and file daily training course outline (TCO) sheets
· Review all dispatch sheets
· Review maintenance inspections on aircraft
· Review discrepancy forms for aircraft
· Update flight cans regularly
· Ensure all Flight Instructor records are kept to FAA standards
· Perform routine internal audits on all FAA 141 records
· Schedule all aircraft maintenance
· Maintain aircraft maintenance records
· Order needed aircraft parts/routine maintenance supplies
· Aircraft dispatch
· Maintain scheduling and maintenance software
· Communicate with students regarding their availability for flying lessons
· Schedule discovery flights
· Create students’ weekly flying and ground lessons according to their current TCO lesson or part 61 lesson
· Schedule student check rides when necessary
· Check incoming mail daily
· Answer incoming phone calls to the UMO Flight School
· Answer emails regarding flight school interest
· Create and file check requests for UMO Flight School invoices
· Reconcile UMO Flight School credit card statements monthly
· Keep all receipts to generate monthly information sheets on the statements
· Generate and file invoices for part 61 UMO Flight School students
· Other duties, responsibilities and activities may change or be assigned at any time with or without notice.
Minimum Qualifications:
· High School graduate required; Associate’s Degree or greater preferred.
· Previous Administrative Assistant experience highly preferred, experience within higher education a plus.
· Good knowledge of Microsoft Office suite (Excel, Word, PowerPoint) required.
