Administrative Assistant – Job Description
Rhodes Osiek Patyk & Company has been providing accounting, tax, audit, and business consulting services since 1979. We have over 40 years of experience helping clients with their business and personal needs.
We are seeking a full-time Administrative Assistant who is highly organized and detail-oriented that will support our fast-paced CPA firm. The ideal candidate will have excellent communication skills, a background in administrative roles, and preferably some basic knowledge of tax-related processes. This role primarily involves administrative tasks, with client interaction, and maintaining the office.
Summary of primary responsibilities and experience:
· Reception desk duties, greeting clients and visitors
· Answer and direct incoming calls, taking messages as needed
· Open and distribute incoming mail; Process outgoing mail
· Administrative support for CPA’s – drafting letters, filling out tax forms as needed
· Calendar management for CPA’s
· Organize and assemble a variety of tax forms and financial statements
· Monitor and order office supplies
· Operate and maintain office equipment, including printers, copiers, and fax machines
· Works w/ maintenance staff & outside vendors to ensure office equipment is in order
· Maintain filing system of tax and bookkeeping files
· Ability to use MS Office Products (Word/Excel/Outlook)
· Assists with Accounts Receivable and Accounts Payable
· Handle sensitive information in a confidential manner
Qualifications and requirements
· High School Diploma
· Two years administrative assistance experience
· Excellent time management skills and the ability to prioritize work
· Presents a positive and professional image for our CPA firm
Job Type: Full-time
Pay: $20.00 - $30.00 per hour
Expected hours: 40 per week
