ORB Engineering, Inc. is currently seeking and Administrative Assistant to perform (at a minimum) the following duties:
· Perform front desk and office support activities for multiple engineers.
· Field incoming telephone calls and receive and direct visitors and present a professional, welcoming first contact to all clients, vendors, and staff.
· Responsible for incoming and outgoing mail, shipping and receiving.
· Maintain office supplies and storage areas; replenish and order supplies as needed.
· Responsible for keeping office equipment maintained.
· Assist in report preparation including charts, figures, spreadsheets, and presentations.
· Set-up, maintain, and update project files.
· Prepare agenda for weekly staff meetings and take minutes.
· Assist in marketing efforts including maintain and update company website and social media accounts.
· Provide support for travel arrangements and expense tracking.
An ideal candidate must possess the following skills :
· Extensive software skills are required including Word, Excel, PowerPoint, and Outlook.
· Must possess strong internet research capabilities.
· Must possess strong communication interpersonal skills.
· Must possess excellent writing skills.
The following skills and experience are preferred, but not required:
· Ability to read, write, and speak Spanish fluently
· Experience working in an engineering or construction office.
· Experience with QuickBooks and AutoCAD.
