Pre-Construction Administrative Assistant
The Pre-Construction Administrative Assistant is a Pre-Construction support role. This individual will support the Pre-Construction Proposal Coordinator and Preconstruction Team by assisting with administrative and organizational tasks. This individual will work closely with Pre-Construction, Estimators, and Operations to facilitate proper documentation, reviews, and deliverables for each request.
What Do You Offer Us?
- Searching bids on state DOT sites, private sector, bidding platforms, etc.
- Preparing prequalification paperwork for DOTs, private sector, etc.
- Filling out forms and working with licensing, finance, legal, operations, safety, etc., to gather required information.
- Communicate with DOT’s and clients when questions arise.
- Yearly renewal of prequalification’s.
- Update and maintain bid login spreadsheet for bidding platforms.
- Calendaring - Scheduling key RFP dates, bid reviews etc. and distribute to proper team members.
- When required, assist Proposal Coordinator with the process to gather the required information for RFPs.
- Manage and maintain SharePoint Folders
- Obtain certificates of insurance when needed by the owner.
- Provide various administrative support to the Pre-Construction team.

What is Required?
- Construction Experience
- Experience working with prequalification’s in a construction environment.
- Excellent communication and interpersonal skills
- Superior ability to multi-task with time-sensitive work.
- Proficient in Microsoft Office, Word, Excel, PowerPoint and SharePoint
- Able to produce quality documents using Microsoft Word.
- Motivated self-starter with demonstrated ability to work both independently and with others in a team environment.
This position is subject to the Federal Department of Transportation (DOT) drug & alcohol testing regulations as outlined in 49 CFR Part 382 and/or 49 CFR Part 199.
