Bulldog Cleaning & Restoration is a disaster restoration firm specializing in water removal and structural drying, mold remediation, fire/soot/smoke remediation as well as list of other complementary services. We deal with and help families suffering from property loss, get back to "normal". We try and maintain a level of personability, caring and patience when working with our customers on the administrative level.
Role & Responsibilities
Primary job duties will include but not limited to:
- Managing both Production & Administrative Calendars - Scheduling projects, route creation and assignment, ETA notifications, setting appointment reminders etc.
- Managing and updating Customer files, setting and completing tasks, proposal follow ups, payment follow ups, etc.
- Labeling, tagging, and sorting job files and photos
- Tracking purchase orders, fuel receipts and expenses
- Material inventory and purchase order fulfillment
- Employee TimeCard management and oversight
- Managing phone lines - inbound calls, outbound calls, transferring phone lines, etc.
- Report Generation and Claim Documentation Prep
- Assisting in estimate prep including uploading sketches, inserting templates and assigning projects
- Hiring & Applicant Screenings
- Social Media and GMB management - Daily/Weekly Post Schedule
- Light Marketing - Visiting Agents, placing calls, sending emails etc to potential new customers and relationships
Applicants MUST be comfortable with being assertive AND kind. Must be willing to learn about the services we offer to better help our Customers.
Requirements:
- Proficient with Microsoft and G-Suite
- Willing and able to learn basic production processes and workflows
- MUST be organized
- Have understanding of scheduling, drive time, estimated time on-site etc.
- Firm but friendly attitude -able to kick the guys out of the shop in the morning if need be as well as ability to collect on accounts receivable whilst maintaining ability to request a positive online review
- Detail Oriented - detailed notes must be taken after every correspondence - if you don't enjoy writing/typing, this may not be for you. - Follow ups, task creation and appointments must be updated at all times.
- Punctual, proficient vocabulary, ability to maintain sense of professionalism at all times both via email and telephonically
- Highly organized, systems based, motivated and driven. Must be able to take direction, remain productive with minimal immediate oversight and hit scheduled goals and deadlines.
We are looking for someone to help manage the office and stay on top of deadlines, improve customer interactions, maintain production schedules and stay on top of all of the little things that inevitably fall through the cracks. Core responsibilities will be consistent however daily tasks and projects may change based on need and importance. - Scheduling a dumpster drop off/pick up, visiting a customer, dropping off pamphlets etc.
Due to the nature of the business and company, applicants MUST be ok with working predominately alone for the better part of the day whilst maintaining a drive to get things done. With that said, communication and transparency is huge and deadlines and goals will be set for assigned tasks.
Initial onboarding may include "shadowing" during estimates and inspections until applicant has a clear understanding of the services we offer.
We are looking for a full time - long term - admin assistant who can grow with the company.
This position will start as a Part-Time role - Monday thru Friday - 7:30am to 12:30pm. Once the applicant can show competency with our systems and processes, we will increase hours and transition to a full time role. - Ideally as quickly as possible.
Restoration industry, insurance industry, claims experience is a plus but not required.
