The Administrative Assistant in the department of Chemical and Biomedical Engineering will serve as the primary receptionist in the department and will provide courteous and helpful assistance to department visitors, students, staff and faculty. S/he will assist in the daily operations of the department to ensure that work is completed in an accurate and timely manner.

This position is hiring at an hourly rate between $16.83 and $18.00 per hour and will be on-site at Rice University’s main campus.
Requirements
- HS Diploma or equivalent
- 0-1 years of related experience in front office operations, data entry, and/or purchasing
- In lieu of the experience requirement, additional related education, above and beyond what is required, on an equivalent year for year basis may be substituted.
Preferences
- One year of related experience in front office operations, data entry, and/or purchasing highly preferred
- Associate in Business degree or certification in administrative operations/office assisting
- Rice University experience
- Knowledge of J-1 visa process
- Basic bookkeeping/accounting skills

Essential Functions
- Greets visitors and routes them to appropriate individuals and serves as a resource on school procedures and general inquiries
- Distributes routine communications such as memos, notices, emails, and letters
- Initiates purchase requisitions, trains research teams on purchasing process, follows up on goods receipts and encumbered funds
- Enters data into basic tables, creates reports, and spreadsheets, monitors and orders office supplies
- Tracks facility and office equipment, maintains property control files
- Manages visitors, including position entry, visa document collection, scheduling, and orientation
- May provide guidance to temporary and student employees on routine matters
- Performs other duties as assigned
