JOB DUTIES:
As the Administrative Assistant you will work closely with the internal accounting and operations teams. With 6 locations across the Portland metro area, you'll be assisting with all incoming and outgoing paperwork, payroll and timesheet reports, invoices and billing processes, and help keep all purchase order information organized. Regular responsibilities will include:
- Perform data entry for Accounts Payable & Receivable invoices
- Contract payments & expense reimbursements to ensure accurate and timely payment
- Match invoices, purchase orders & receivers prior to payment distribution
- Match invoices to checks prior to signing & ensure each check has appropriate support
- Return invoices to vendors when Purchase Order reference is missing
- Collect aging receivables
- Record customer deposits & apply payments to open invoices.
- Maintain accounting controls by following policies and procedures; and complying with federal, state, and local financial legal requirements.
- Participate in the day-to-day accounting processes with Accounts Payable and Accounts Receivable.
WHAT WE'RE LOOKING FOR?
- 2+ years of recent Office Administrative experience
- 1+ year of recent Accounting, Payroll, Billing experience
- Experience with SAGE software
- Proficient with 10-Key
- Background within the trades industry (construction, plumbing, electrical, etc.) preferred
- Upon offer, ability to pass pre-employment background check + UA drugscreen
