Johnson Service Group is looking for a part time Admin Assistant to work for one of our Clients in San Jose. This person would assist in the Finance Dept, answering phones, scanning, data entry, handling mail, etc.
Responsibilities:

  • Receive & greet visitors, screen telephone calls.
  • Take messages or direct visitors to appropriate staff.
  • Respond to or resolve customer complaints as necessary.
  • Perform data entry functions.
  • Ensure proper documentation, coding, and input of information.
  • Print data, make necessary copies, attach materials, and distribute as appropriate.
  • Retrieve, store, track, monitor, and maintain a wide variety of active and inactive print and electronic documents and database records.
  • Purge and destroy according to retention schedules.
  • Prepare files for storage in storage boxes.
  • Prepare necessary forms to transfer and track boxes in storage.
  • Type labels, cards, and other materials for records identification.
  • Receive, screen, sort, and deliver mail including packages, supplies, and other materials.
  • Prepare and meter outgoing mail and special packages.
  • May collect cash and issue receipts, balance cash received.
  • Operate a variety of standard office equipment and software applications.


Qualifications:

  • Knowledge of best practices for office procedures, methods, and equipment.
  • Familiar with principles and procedures of record keeping, file maintenance, retention, and retrieval.
  • Knowledge of common desktop applications and software as well as specialized software related to the work.
  • Good command of the English language including spelling, grammar, and punctuation.
  • Customer service skills with ability to respond to requests and inquiries from the public.
  • Knowledge of techniques of receiving, sorting, and distributing mail.
  • Able to independently prepare correspondence.
  • Research and interpret items such as documents and parcel books. Maintain complete records.
  • Able to use a variety of office equipment.
  • Type at a speed necessary for successful job performance.
  • Equivalent to the completion of the twelfth grade.
  • 1 – 3 years+ experience of administrative support

Rate starting at $27/hr DOE
