Job Title: Admin Assistant
Location: Phoenix, AZ
Essential Duties and Responsibilities include the following. Other duties may be assigned.
Office appearance maintenance
Handles and prepares outgoing and incoming mail, including shipping and receiving packages.
Processes correspondence, letters, forms, reports, and various documents
Maintains various filing systems and service log.
Maintains office supplies
Issues and returns equipment for new hires/terminated employees (access cards, cell phones, laptops, etc.)
Ensures documentation (such as bids) get to appropriate personnel
Assists with Tool Tracking (PIC’s keys, gas monitors, etc.)
Assists with Tool Calibration
Ensure faxes (such as bids) get to appropriate personnel
Organizes travel arrangements (hotels, flights)
Assists with expense reports
Issues drug screens for required random testing
Track Purchase Orders (Material & Equipment statuses/deliveries)
Update project trackers and schedules
Keeps customers and vendors informed of changes and status updates
Organizes warehouse and tracking material received
Helps resolve billing issues
Prints and binds necessary files
Assists with office maintenance and fleet/truck issues
Manage onsite Vehicle Permits/Registration
Manage and coordinate any onsite badging issues for onsite personnel
Helps IT resolve issues with any/all technology tickets
Answers emails in Outlook
Creates Service Reports in Excel
Runs labor reports from hh2
Assists with submittal preparation upon request
Assists with onboarding of new employees
Manages and coordinates guest badges
Assists with creating and tracking SIPP's
Assist with setting up necessary accounts for onsite work (VEO, Procore, etc.)
