Job Description:
KMA is looking for an Administrative Assistant to provide support in our billing and collection department. The tasks include many computerized and telephone activities that draw information from our tax, accounting and practice management software to communicate with clients regarding their invoices and amounts due for invoicing and collection. Our administrative assistants develop a keen sense of client awareness in service of client needs. The ideal candidate would be an excellent communicator with the ability to prioritize their work in and independent fashion.
Responsibilities:
- Assist Billings & Collections Manager with Client billings and collections.
- Manage phone calls and correspondence.
- Support Office Manager with firm workflow and document management assistance.
- Provide assistance to clients accessing their "portals" for invoice payment and document retrieval.
- Support Accountants and Account Managers/CPAs with client information or billing issues.
- Create and update records and databases - keep notes.
- Assist colleagues whenever necessary.
Qualifications:
- Associate or bachelor’s degree.
- Experience in billings and collections and/or client service.
- Outstanding communication and interpersonal abilities.
- Knowledge of MS Office and similar software.
- Dependable, team player, and reliable to complete tasks timely.
- Ability to maintain the confidentiality of clients and staff.
- Self-motivated and independent, able to prioritize personal workload. Initiate working with little direction.
- Able to extend work hours during tax season deadlines.
- Adhere to the firm's values and code of conduct.
- Excellent verbal and written communication with great interpersonal skills.

Starting Salary Range: $42,000 to $54,000 depending on experience in the area of billings and collections.
