Job Description
Your purpose in this role is to support the Business department with its day-to-day operations, which include maintaining financial records, reviewing and reconciling invoices and vendor statements, and communicating with Arboretum departments to resolve discrepancies.
Reporting to the Senior Director, Business Administration, the AP Specialist is a non-exempt position with an hourly rate of $19.00 – $23.00.
Some of the specific responsibilities of this position include but are not limited to:
- Receiving, reviewing, and processing vendor invoices.
- Adding all invoices to our Accounts Payable system (ProcureDesk) and distributing them to department managers for approval.
- Overseeing the weekly vendor payment schedule and check runs.
- Investigating and resolving invoices and/or vendor issues, including outstanding checks.
- Maintaining and reconciling office transaction records for petty cash, expense reports, credit card statements, and receipts.
- Generating and maintaining all Accounts Payable reports and documentation.
- Recommending process improvements to enhance efficiency and accuracy of the Accounts Payable function.
- Associate degree from an accredited university in Accounting, Finance, Business, or related field; or an equivalent combination of education, training, and experience.
- Three (3) years of demonstrated work experience in an Accounts Payable or accounting role.
- High attention to detail.
- Strong verbal, written, and interpersonal communication skills.
- Proficiency in Microsoft Office applications, including Excel, Word, and Outlook.
- Ability to work occasional evening and weekend hours for Arboretum events.
- Valid driver’s license and evidence of insurability.
