Position Summary
An Accounts Payable Representative is responsible for payment of invoices using our Avid Accounts Payable System, checking for invoice accuracy and communicating with the accounting team, property managers and Association Boards as necessary.
Position Responsibilities
- Prepares invoices for entry into the accounting system, monitors the entry of information and data, and verifies invoice accuracy, coding and data entry for submission to property management.
- Updates job knowledge by participating in educational opportunities.
- Performs other duties as assigned.
- Review Accounts Payable invoices in the Avid. Checking for accuracy of the right Association, dollar amount, remittance address and invoice accuracy.
- Review general ledger coding of invoices, comparing to Association’s budget for proper allocation.
- Approve invoices in Avid, following each individual Association’s guidelines for payment.
- Assess cash flow of Associations and prioritize critical invoices to pay.
- Communicate with the property manager of each Association regarding cash flow and critical invoices.
- Ability to make journal entries to record funds transfers.
- Answer questions from property manager regarding general ledger coding.
- Scan/upload invoices and source documents to Avid
- Handle occasional emergency checks to vendors that are time sensitive.
- Troubleshoot questions from the financial accounting team regarding bank reconciliation questions.
Essential Skills & Education/Experience Requirements
- Minimum 2 years accounting experience or accounting education.
- Excellent organizational/multitasking skills
- Detail-oriented and organized individual
- Knowledge of Property Management Accounting Systems a plus, (ie, Avid, Vanacta)
- Knowledge of Adobe Pro
- Proficient in Microsoft applications
- Excellent communication skills, verbal and written
