Position Summary
The Administrative Assistant is responsible for providing day to day administrative support to the Donor Relations Directors (DRDs). She/he must have strong organizational skills with a keen eye for detail. She/he must be flexible and able to handle multiple priorities simultaneously, have good judgment, be able to work independently or with little supervision, self-motivated, set priorities and apply excellent time management skills. She/he is critical in on-going donor care and communication to the DRDs while they are in the field.
Essential Functions
- Provide administrative support to five Donor Relations Directors (DRDs) in satellite offices, including the management of confidential files, reports, processing mail, and data research.
- Answer DRD telephone line and respond to donor care calls that include, but are not limited to: gift enquiries, processing donations, returning donor calls and follow-up as necessary.
- Monitor and manage incoming DRD emails and forward leads to appropriate DRD.
- Assist Plan Giving Directors develop donor materials, including invitations, letters, agendas, Power Point presentations, etc.
- Work with Direct Marketing team to input/amend/update donor information in Portfolio database, pull reports and mailing lists, analyze donor lists using Campaign module.
- Become familiar with the DRD Metrics reporting requirements and execute as required.
- Track and monitor expenditures for monthly reports and assist DRDs with receipts in AgilePoint, as needed.
- Monitor CDS Database for CDS remits, prayer requests and memorials once and direct to the appropriate person.
- Keep inventory of DRD Marketing material.
- Work with the following donor database software:
- PayDQ
- CDS
- MarketSmart
- Citrix (Gems)
- Assist with Special Events functions.
- Perform other related duties as assigned.
Working Conditions
Ability to walk, stand, bend, squat, climb, kneel and twist on an intermittent or sometimes continuous basis. Ability to grasp, push, pull objects such as files, file cabinet drawers, and reach overhead. Ability to operate computer, fax and telephone. Ability to lift up to 25 lbs.
Minimum Qualifications
- Associate Degree required; Bachelor’s degree preferred.
- Minimum three years of experience in an administrative support position.
- Experience in a development role preferred.
- Experience in customer relations/service.
- Experience working with the public, outside vendors and customers.
- High degree of experience in use of computer applications and platforms including data base management software and basic office software (Word, Excel, Power Point or their equivalents).
Skills, Knowledge & Abilities
- Driving Test and clean MVR check (if applicable).
- Excellent communication skills, both written and verbal.
- Excellent proof-reading skills.
- Proficient in Microsoft Office and preferably Portfolio.
- Ability to create spread sheets.
- Ability to work with minimal supervision and with strong self-initiative.
- Ability to maintain a high level of professionalism with good judgement, and confidentiality.
