A Utilities Natural Gas Operations Administrative Assistant plays a crucial role in supporting the project manager in planning, coordinating, and executing Natural Gas utility projects. Job Responsibilities:
Project Coordination:
- Assist in the planning, scheduling, and execution of Natural Gas utility projects.
- Coordinate with project team members, contractors, and stakeholders to ensure tasks are completed on time and within budget.
- Resource and process government bid projects.
- Monitor project progress and provide regular updates to the project manager.
Documentation and Reporting:
- Maintain project documentation, including contracts, permits, and regulatory compliance records.
- Prepare progress reports, budget updates, and other project-related documentation for review by the project manager.
- Assist in the preparation of project proposals, budgets, and cost estimates.
Data Management:
- Collect, organize, and analyze data related to project performance, resource allocation, and budget tracking.
- Assist in maintaining databases and project management software tools.
Stakeholder Communication:
- Communicate with internal and external stakeholders, including regulatory agencies, customers, and contractors.
- Respond to inquiries and provide information related to project status, timelines, and requirements.
Safety and Compliance:
- Ensure that safety protocols and regulatory requirements related to Natural Gas projects are followed.
- Assist in obtaining permits and approvals necessary for project implementation.
Resource Management:
- Assist in resource allocation, including labor, equipment, and materials, to ensure efficient project execution.
- Monitor and track project expenses and budgets.
Problem Solving:
- Identify and address issues or obstacles that may arise during project implementation.
- Collaborate with the project manager to develop solutions and contingency plans.
Qualifications:
- Education: A bachelor's degree in engineering, project management, or a related field is typically preferred. Relevant work experience may be considered in lieu of formal education.
- Knowledge of Natural Gas distribution is a plus but not a required.
- Experience with DOD/Government Contracts strongly preferred.
- Experience supporting bid and proposal processes.
- Project Management Skills: Familiarity with project management methodologies and tools, such as Gantt charts, project scheduling, and budgeting.
- Communication: Excellent written and verbal communication skills for effective collaboration with team members and stakeholders.
- Organization: Strong organizational skills to manage project documentation, schedules, and resources efficiently.
- Technical Proficiency: High proficiency in MS Office Applications (Word, PowerPoint, Outlook, Excel)
- Regulatory Awareness: Ability to identify and address.
