Position Overview
The Illinois Department of Corrections is looking for a professional Training Records Administrator to serve underneath the Manager of Staff Development & Training. The selected candidate will supervise clerical staff and will monitor all entries into the Learning Management System. Additional duties include maintaining the Learning Management System for the Illinois Department of Corrections. Also, the selected candidate will act as a liaison with Program heads and Facility Training Coordinators to ensure training needs are met for all agency employees and trainees. Job Responsibilities
  1. Serves as working supervisor.
  2. Enters enrollment information, class credits, class information to maintain the Learning Management System for pre-service and in-service programs.
  3. Maintains a Learning Management System for all areas of IDOC.
  4. Coordinates scheduling of transportation, linen services, housekeeping, and food services.
  5. Coordinates operations with other facilities such as Public Safety Shared Services, facility Business Managers, and other Department heads.
  6. Keyboards complex charts, statistical reports, documents, forms, memoranda and letters including legal, medical and psychological terminology where an understanding of specialized terms is required to ensure clarity and accuracy.
  7. Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.

Minimum Qualifications
  1. Requires knowledge, skill and mental development equivalent to completion of two (2) years of study at a secretarial/business college and two (2) years of office experience; or completion of high school and four (4) years of Office Assistant experience; or four (4) years independent business experience.
  2. Requires the ability to keyboard accurately at 30 words per minute.

Preferred Qualifications (In Order of Significance)
  1. Prefers at least two (2) years of experience working using a Learning Management System.
  2. Prefers at least two (2) years of experience coordinating multiple support services schedules for a medium to large sized organization (50 or more employees) such as the scheduling of transportation, linen services, and housekeeping.
  3. Prefers at least one (1) year of supervisory experience.
  4. Prefers at least one (1) year of experience communicating and interacting with management, the public, and other government officials.
  5. Prefers at least two (2) years of work experience compiling documentation to assemble and submit weekly, monthly, quarterly and/or yearly reports.
  6. Prefers at least one (1) year of experience communicating and interacting with management, government officials, advocacy organizations, and the public.
  7. Prefers at least one (1) year of experience serving as a liaison between different areas in an organization.
  8. Prefers at least one (1) year of office experience working with the Microsoft Office suite or equivalent computer software.

Conditions of Employment
  1. Requires ability to pass the IDOC/IDJJ background check.
  2. Requires the ability to pass a drug screen. The use of unauthorized drugs by an employee, regardless of position held, is prohibited.
