JOB SUMMARY:
This individual will be responsible for receptionist functions, including answering the telephone and greeting visitors at the parish office. He/she will coordinate various forms of communication, perform clerical tasks, and oversee the calendar and space reservations for the parish. He/she will be assigned other projects and duties, as needed.
RESPONSIBILITIES:
- Answer phones and greet guests to the parish, ensuring that the parish office is a place of welcome.
- First point of contact for sacramental celebrations (e.g. funerals), communicating critical information regarding activities and events taking place at the parishz.
- Assist with parish electronic media, posting/updating parish events.
- Receive and organize requests for Mass intentions.
- Open and distribute mail.
- Assist with parishioner database (PDS) maintenance.
- Generate reports at the request of the Operations Director.
- Preparation of pastoral documents and maintaining sacramental records.
- Maintain an adequate inventory of supplies, including sacramental and general office forms.
- Other duties as assigned.
REQUIREMENTS:
- Some college or formal secretarial training is preferred.
- High school graduate, GED or equivalent
- Minimum of 2 years of related office experience or equivalent combination of formal education and related work experience.
- Prior experience with a parish office is a plus, previous management experience preferred.
- Bilingual/English and Spanish is required for this position.
- Demonstrated ability to multi-task and complete simultaneous, unrelated projects.
- Knowledge of technology, software and various types of media, including MS Suite and database management. Knowledge and experience with Microsoft Publisher and/or Adobe InDesign a plus.
- Excellent communication skills, both verbal and written
The Office Administrator is generally the first point of contact with many people who reach out to the parish and is expected to foster an environment of welcoming hospitality and maintain a positive office environment.
Job Type: Full-time
Pay: $20.00 - $22.00 per hour
Expected hours: No less than 40 per week
