HOURS: Full time, may include evenings and weekends
PAY RANGE: $26.44-31.25 hourly
BENEFITS: Medical, dental, vision, retirement, life insurance, long term disability insurance and sick leave are available to employees. Employees accrue 116 hours of vacation during the first year and receive 11 paid holidays. (Prorated for part-time employees).
POSITION TYPE: This is a non-exempt, management level position.
We are seeking a highly organized, detail-oriented individual with a strong customer service focus for the Office Manager position who will work within the Special Projects and Operations team and the Tiny House Village and Shelter Program by providing professional-level administrative, operational and policy services and provides direct support to the Director of Special Projects & Operations.
This position will contribute to the effective operation of multiple programs by providing administrative and management support and by coordinating and executing communication needs and projects of the organization. This position will provide support and coordination for the tiny house village program, other shelters and special projects with LIHI. The role will assist the Director of Special Projects and Operations with supportive project management, partnership management, volunteer coordination, communications, and community engagement. This role is also that of a Development Associate with the Tiny House Village program, and involves working in partnership with faith organizations, community partners, private citizens, municipal partners, LIHI staff, and advocates for the construction and planning of tiny house villages in Seattle and beyond.
Responsibilities:
1. Works closely with the Special Projects and Operations team including communications, managing calendars, preparing correspondence, and handling confidential data and files.
2. Make sure that office infrastructure is running smoothly. Establish and maintain administrative, management, and filing systems for the office.
3. Lead the logistical coordination of company events and large meetings, both onsite and offsite.
4. Help coordinate orientation for new staff including the on-boarding and off-boarding processes for staff and volunteers
5. Manage the ordering and inventory of program supplies, anticipating needs, upcoming events, and other activities that might impact supply inventory.
6. Support public relations including social media and other online platforms and electronic communication - posting and creating content, ensuring that online comments are addressed in a timely and appropriate manner.
7. Provide project management support.
8. Setup and maintain vendor and utility accounts for the Tiny House Villages and shelters
9. Develop and manage relationships with vendors, contractors, consultants, and community members.
10. Obtain and respond to input and feedback from staff to better support site staff members
11. Conduct periodic site visits to observe property operations.
12. Work collaboratively with staff at assigned properties to ensure that administrative and operational procedures are well managed.
13. Assist in developing procedures for current and future programs.
14. Assist in managing the budgets for new construction projects and projects at existing villages and shelters
15. Manage, maintain, and ensure compliance with contracts, MOU’s, and integrated service agreements with the Cities, Counties, and partnering agencies.
16. Work collaboratively with the Program Managers, Housing Management and Supportive Services to increase positive outcomes.
17. Seek out, identify and arrange appropriate and as needed trainings for Village/Shelter Operations staff team
18. Attend meetings and take minutes.
19. Report regularly to the Director of Special Projects & Operations
20. Other duties as assigned.
Qualifications:
1. Two or four year degree in a relevant field, or equivalent experience.
2. Two or more years of administrative support experience, preferably for senior-level staff.
3. Discretion and confidentiality.
4. Ability to multi-task and stay organized with demonstrated experience in working both independently and collaboratively.
5. Excellent problem solving and conflict resolution skills.
6. Commitment to LIHI’s mission and experience working with a diverse population.
7. Excellent written and verbal communication.
8. Strong self-initiative; ability to work independently with minimal supervision and willingness to seek out new training and knowledge when necessary.
9. Ability to work in a fast-paced team environment and must have excellent time management skills
10. Intermediate experience in Microsoft Office, Google Suite and social media platforms.
