Job Summary:
The Schedule Coordinator’s primary role is to schedule a team of trainers to conduct educational workshops around the country using a customized scheduling system. Trainers include a full-time training team as well as independent contractors. The position will report to the Director of Curriculum and Trainers and will reside in the San Clemente office. The position will interact with the Partnership Team, who books the workshops with schools and districts, and the Professional Development Operations team, who is responsible for coordinating the workshop. When assigning trainers, importance is placed on matching the trainer strength to the workshop topic, minimizing trainer travel, equalizing trainer schedules, and scheduling trainers to meet monthly and annual targets.

Essential Duties and Responsibilities:
- Match full-time trainers to events which maximize their areas of strength.
- Use a customized trainer scheduling system to manage trainer calendars.
- Minimize trainer travel by using trainers in close geographical proximity to the workshop.
- Prioritize scheduling full-time trainers over independent contractors until full-time trainer targets are met.
- Send training requests to independent contractors when full-time trainers are booked or are not available.
- Re-schedule trainers when necessary, which often requires problem solving skills to juggle multiple events and considerations at once.
- Liaison between trainers and the Partnership Team in discussions regarding events changes/details.
- Review block off days submitted by trainers and provide recommendations to the Director for approval or denial of these requests.
- Be available after hours and on weekends in emergency situations to schedule a different trainer when trainers are not able to make their event.
- Work with the Professional Development Operations Manager on last minute trainer issues which impact trainings.
- Work within full-time trainer targets when assigning them workshops, while also making sure each trainer reaches their expected number of training days.
- Assist the Director of Curriculum, Trainers, and Director of Associate Trainers with projects and administrative tasks.
- Complete Lesson Planning/Implementation Support Day and Coaching tasks as requested.
Interaction:
- This position will report the Director of Curriculum and Trainers, but also interacts with trainers, Partnership Team, and Professional Development Operations.
Requirements:
- Must have a high school diploma.
- Min 3 years working in an office environment.
- Prior experience with scheduling.
Knowledge, Skills, and Abilities:
- Knowledge of Microsoft Office Suite, with proficiency in Excel.
- Problem solving skills and long range thinking.
- Must have excellent organizational skills, memorization skills, and attention to detail.
- Good communication skills, both verbal and written.
- Ability to prioritize tasks and work well under pressure and deadlines.
- Ability to adapt to daily schedule changes and manage multiple events effectively.
Pay Transparency:
- The expected salary range for this position is between $26.00 and $30.00 per hour. The actual compensation will be determined based on experience and other factors permitted by law.
