Position Summary:
The TA Administrative Assistant will support the recruiters throughout the hiring process by preparing compliance files in accordance to Department of Transportation (DOT) and Transportation Security Administration (TSA) standards. This position will be responsible for file management and submission of all driver qualification (DQ) files, including, but not limited to, Motor Vehicle Reports (MVRs), Medical Cards, Verifications of Employment (VOEs), scheduling background, drug and physical screenings, etc.
The responsibilities of the position include, but are not limited to:
- Partnering with the driver recruiters to complete driver qualification (DQ) files
- Ensuring file compliance with DOT, FMCSA, Motor Vehicle Reports, Drug and Alcohol regulations, etc.
- Assisting with the submission of DQ Files to A. Duie Pyle’s internal Safety team for review
- Ability and desire to learn company and Department of Transportation (DOT) regulations
- Documenting new hire’s progress and ensuring all proper onboarding paperwork is complete prior to the new hire’s first day of employment
- Managing the Applicant Tracking System (UKG) and related recruiting systems by documenting and properly dispositioning all candidates
- Coordinating and facilitating new hire orientation, including scheduling orientation, ensuring the completion of new hire paperwork and assigned trainings, and creating employee files
- Ensuring compliance and excellent candidate care throughout the hiring process
To be qualified for this position, you must possess the following:
- Proven success meeting deliverables in a fast paced, deadline driven environment
- Strong organizational skills
- Proficient in Microsoft Office (Word, Excel, PowerPoint and Outlook)
- High sense of urgency and attention to detail
- Ability to interface effectively with internal employees, candidates, and external partners
- High School Diploma or equivalent
