Job Description
POSITION DESCRIPTION:
Under the supervision of the Manager, Properties and Commercial Development, the selected candidate will provide the necessary support as a Supervising Office Assistant to manage leases, permits, license agreements and other legal documents. Day to day responsibilities include, but are not limited to: coordinating the preparation and execution of various documents and agreements; maintaining up to date property records in SAP; documenting status reports and preparing other special reports, such as active agreements, tenant directory, site visits, insurance certificate and security deposit follow-ups etc; timekeeping for the unit using Peoplesoft; ordering supplies; and preparing petty cash & expense accounts.
POSITION QUALIFICATIONS:
POSITION REQUIREMENTS:
· Demonstrated knowledge and experience in processing Board items, Memorandum of Justifications (MJ) and/or Authorizations (MA)
· Experience with SAP and Peoplesoft (highly preferred)
· Excellent interpersonal skills with experience interacting effectively with all levels of internal staff and external tenants and contractors.
· Demonstrated experience working in a fast paced, high stress environment.
· Demonstrated project management skills and the ability to manage multiple tasks simultaneously.
· Demonstrated knowledge of PA administrative policies and procedures relating to timekeeping, petty cash, clerical and administrative functions.
· Demonstrated proficiency in Microsoft suite, including but not limited to Word, Excel, Teams and Planner.
HIGHLY DESIRABLE:
· Knowledge of SAP – “Flexible Real Estate Module
