Must have current, valid Oklahoma CMA/LPN license
Responsible for creating and maintaining staff schedules, tracking attendance, monitoring lateness and absences, minimizing overtime, and providing reports to management related to productive and non-productive hours. The Scheduling Coordinator is expected to work with the Human Resources department to maintain current contact information on all staff and insure all employees are complying with employment procedures related to attendance.
Essential Job Functions
- Participates in Quality Assurance programs, and any facility committee or programs, which seek to improve the performance and accuracy of resident care.
- Participate in facility focus group meetings.
- Participate in own employee performance evaluation, determining growth needs and goals.
- Perform all assigned tasks in accordance with our established policies and procedures, and as instructed by your supervisors.
- Create and maintain an atmosphere of warmth, personal interest and positive emphasis, as well as a calm environment throughout the unit and shift.
- Meet with supervisor as needed, to assist in identifying and correcting problem areas, and/or the improvement of services.
- Report all complaints and grievances made by the resident.
- Follows established personnel policies according to employee handbook as well as established policies and procedures.
- Report absenteeism/call-ins to the Director of Nursing.
- Develop and maintain a good working rapport with inter-departmental personnel, as well as other departments within the facility to ensure that services and activities can be adequately maintained to meet the needs of the residents.
- Attends departmental meetings as required.
- Follows established personnel policies according to employee handbook as well as established policies and procedures.
- Maintains any and all required certifications/licensure.
- Create and post monthly staff schedules, track and post changes and approve trades in the absence of the DON or as delegated by DON.
- Post and fill open shifts as they occur.
- Maintain staffing phone and calls
- Maintain timely records of call-offs, tardys and early arrivals and coordinate daily with HR to ensure attendance policies are administered promptly and fairly.
- Follow established departmental procedures and perform duties in compliance with established standards.
- Alert HR to possible FMLA or other Leave of Absence issues.
- Monitor and minimize staff overtime.
- Notify HR of terminations or no-call, no shows as these occur to facilitate timely replacement.
- Contact and schedule agency staff as last resort to meet PPD.
- Assist new employees in acclimating to facility policies, procedures and routines.
- Provide accurate and timely reports to DON, Facility Administrator and management on issues relating to staffing, vacancies and agency use, or other topics as assigned.
- Monitor agency use to ensure department expenditures for agency are at or below budgeted level.
- Keep ADON and/or DON informed of personnel needs and scheduling difficulties.
- Work as CNA or CMA when no coverage is available
Education & Qualifications
- Maintains current, valid Oklahoma LPN/CMA certification
- Nursing experience in long term care setting preferred
- Computer knowledge required.
- Ability to work independently or part of a group.
- Effectively communicate with others.

- Must possess the ability to make independent decisions when circumstances warrant such action.
- Must possess the ability to deal tactfully with personnel, residents, family members, visitors, government agencies/personnel, and the general public.
- Knowledge of elderly ill and/or disabled.
- Must have patience, tact, a cheerful disposition and enthusiasm, as well as the willingness to handle difficult residents.
- Basic understanding of following step-by-step procedures.
- Follows and understands written and oral directions.
- Knowledge of equipment used in long-term care (e.g., lifts, wheelchairs, Geri chairs, and scales).
- Must not pose a direct threat to the health or safety of other individuals in the workplace.
