What you will do:

We are seeking a high impact individuals with exceptional organizational and administrative skills to support key members of our PGIM Real Estate offices. Positions are based in Fresno and Los Angeles , but may include supporting key executives in other offices, as well as remote employees. Expectations will include general office management, coordination, and oversight. This position requires exceptional organizational skills, astute judgement, and the ability to seamlessly lead competing priorities on behalf of our executives.

Candidates can expect to be on-site 4 days a week.

What you can expect:

  • Provide exceptional administrative support including (but not limited to) sophisticated scheduling and calendar management, travel schedules, handling sensitive correspondence for several key executives and members of the extended team as needed.
  • Facilitate and coordinate on and off-site meetings and video conference calls - including, but not limited to creating agendas, organizing materials, taking notes, managing logistics, and other related planning.
  • Manage internal and external interfaces, including phone management –answer and transfer calls, retrieve voicemails, schedule & coordinate conference calls (including multi-party, multi-time zone conf calls)
  • Conduct research, compile information, and edit presentations for multiple types of statistical reports, using various software, including MS Office, Salesforce, and PowerPoint
  • Review, reconcile and submit various reports (Travel, Expense, Gift and Entertainment) with required detail and accuracy. Ensure all submissions comply and adhere with corporate policies.
  • Organize and be responsible for cleanliness of office space, restock office and kitchen supplies, and submit maintenance requests. Collaborate with building staff including management, maintenance, and cleaning crews.
  • Manage relationships with vendors, service providers, and property manager.
  • Support the onboarding of new staff members which includes securing building access, system access, equipment, corporate credit cards, etc.
  • Assist teams in staying informed and adhere to corporate record management, retention, and destruction policies. Coordinate offsite records storage including shipments offsite, retrieval, and destruction.
  • Coordinate with and support the Technology team with system upgrades and issues that arise.
  • Work with other administrative team members across business units to handle requests and queries from key executives and senior managers.

  • A mastery of all Microsoft Office applications (Word, Excel, PowerPoint, and Outlook).
  • A high degree of professionalism and strong work ethic coupled with a sense of responsibility and integrity.
  • Discretion required in handling highly sensitive and confidential information in a respectful and confidential manner.
  • Strong initiative, self-motivation, good judgement, and the ability to multi-task.
  • Solid partnering skills and team player a must.
  • Excellent interpersonal and communication skills.
  • Solid editing and proofreading skills and an attention to detail
  • Ability to think proactively and anticipate needs.
  • Ability to work independently with minimal direction, work under tight time constraints, and be able to prioritize work.
  • Ability to work well with and partner with other administrative and professional staff.

  • 3+ years of administrative experience in a fast-paced environment
  • Bachelor’s degree or equivalent experience in related field
  • Ability to travel occasionally.
  • Flexibility to work overtime on an as needed basis.

Note : Prudential is required by state specific laws to include the salary range for this role when hiring a resident in applicable locations. The salary range for this role is from $ 68,000 to $ 85,000 . Specific pricing for the role may vary within the above range based on many factors including geographic location, candidate experience, and skills. Roles may also be eligible for additional compensation and/or benefits. Eligibility to participate in a discretionary annual incentive program is subject to the rules governing the program, whereby an award, if any, depends on various factors including, without limitation, individual and organizational performance .
